Open Positions – Location Carlsbad, CA

This position provides administrative and clerical support for the Project Management department by organizing our ongoing projects. This task involves assisting project teams with the initiation and planning phases of our standard project deployments, monitoring project plans and ensuring that project deadlines are met in a timely manner. This individual should be motivated and articulate, with the ability to learn quickly and demonstrate proficiency with various software tools. To be a successful Project Coordinator, you will need to be able to work against tight deadlines, coordinate special projects and deal with a diverse group of important external and internal contacts at all levels of the organization. Independent judgement is required to plan, prioritize and organize a diversified workload.

DUTIES and RESPONSIBILITIES

  • Performs administrative and clerical tasks
  • Assists with initial client discussions relating to client onboarding, data source integrations or product implementation
  • Facilitates internal and external follow up calls and meetings
  • Host department meetings on a regular basis to discuss active and upcoming iteration work
  • Document notes during meetings both internally and with clients
  • Performs documentation of client profile information within our existing client database system and all associated client contacts for support matrix
  • Documents correspondence with clients and related activities in the existing client database system
  • Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Maintains and monitors project plans and schedules
  • Ensures project deadlines are met
  • Assists with overseeing and management of tasks related to project completion
  • Assists with management of support renewals and follow up with clients relating to maintenance payments
  • Assists internal departments with account reconciliations
  • Perform other duties as assigned.

EDUCATION

Bachelor’s degree or minimum of 2-year equivalent working experience with an emphasis in Project Management or related field.
